Last updated: May 27, 2026

This Privacy Statement explains how THREETREETECH LLC("3 Tree Tech," "we," "us," or "our") collects, uses, discloses, and protects personal information when you use 3 Tree Terminal(the "Terminal," "Platform," or "Service"), including the Employee, Influencer, and Partner portals available at 3treetech.app and related production domains we may operate.

This Statement applies to users who sign in to the Terminal. It does not describe the privacy practices of third-party websites or services you may access through links or integrations, which are governed by their own policies.

1. Information We Collect

Depending on your role and the features you use, we may collect the following categories of information:

Account and identity information

  • Name, work email address, job title, team, and role assignments;
  • Authentication identifiers from Microsoft Entra ID (for employee SSO) or credentials you create for partner access;
  • Session and security data (login timestamps, IP address, browser type, device signals, and audit events).

Business and operational data you provide or generate in the Terminal

  • Travel requests, expense submissions, and approval records;
  • Commission, finance, and customer or vendor records visible to your role;
  • CRM-related data synced from or entered into HubSpot modules (contacts, companies, deals, activities);
  • Referrals, leads, and deal information submitted through Influencer or Partner portals;
  • Email, marketing campaigns, sequences, templates, and related engagement data where you use Terminal email tools;
  • Files, notes, tasks, notifications, and Virtual HQ participation data;
  • Settings, preferences, and configuration choices you make in the Platform.

Integration and connected-service data

If you or your administrator connects third-party services, we may receive data from those systems as permitted by your configuration, such as:

  • Microsoft 365 / Entra profile and organizational directory information;
  • Microsoft Graph data (for example, calendar, Teams channels, or mail-related metadata) where you authorize it;
  • HubSpot records and activity used for sales, marketing, and reporting workflows;
  • Accounting, event, or other business systems integrated with the Terminal;
  • Video session metadata when using collaboration features (we do not intend to record meetings through the Terminal unless a feature explicitly states otherwise).

Technical and usage information

  • Log files, error reports, performance metrics, and security monitoring events;
  • Feature usage necessary to operate, secure, and improve the Service;
  • Cookies and similar technologies used for session management, CSRF protection, and preference storage (see Section 8).

AI-assisted processing

Where AI features are enabled, we may send portions of your prompts, records, or context to our AI service providers to generate summaries, classifications, or suggestions. We configure these features to minimize unnecessary data exposure and to respect role-based access controls within the Terminal.

2. How We Use Information

We use personal information to:

  • Authenticate users and enforce role-based access across portals;
  • Provide, maintain, and improve Terminal modules you are authorized to use;
  • Process referrals, commissions, travel, finance, and partner workflows;
  • Sync and display data from connected integrations (such as HubSpot and Microsoft);
  • Send operational notifications (in-app, email, or Teams, where configured);
  • Detect, investigate, and prevent fraud, abuse, and security incidents;
  • Comply with legal obligations and enforce our Terms of Service;
  • Generate aggregated or de-identified analytics to understand Platform usage and reliability.

We do not sell your personal information.

3. Legal Bases for Processing (EEA/UK Users)

If you are located in the European Economic Area or United Kingdom, we process personal information on one or more of the following bases: performance of a contract (providing the Service to you or your organization); legitimate interests (security, product improvement, and internal administration, balanced against your rights); compliance with legal obligations; and consent where required (for example, for certain optional integrations or communications). You may withdraw consent where applicable without affecting the lawfulness of processing before withdrawal.

4. How We Share Information

We may share personal information in the following circumstances:

  • Within 3 Tree Tech: with employees and systems that need access to perform their duties, subject to role-based permissions.
  • Service providers: with vendors who host, secure, deliver email, provide AI inference, analytics, or support our infrastructure, under contractual confidentiality and security obligations.
  • Integration partners: with platforms you or your administrator connect (for example, Microsoft or HubSpot), according to the permissions granted.
  • Legal and safety: when required by law, regulation, legal process, or to protect rights, safety, and security of 3 Tree Tech, users, or others.
  • Business transfers: in connection with a merger, acquisition, financing, or sale of assets, subject to appropriate safeguards.

Typical infrastructure and subprocessors for the Terminal may include cloud hosting (such as Vercel), database hosting, email delivery providers, Microsoft Azure / Entra ID, HubSpot, and AI model providers. A current list may be provided upon request to privacy@3treetech.com.

5. Data Retention

We retain personal information for as long as needed to provide the Service, fulfill the purposes described in this Statement, comply with legal and accounting requirements, resolve disputes, and enforce agreements. Retention periods vary by data type. For example, audit logs may be kept longer than draft form entries. When data is no longer required, we delete or de-identify it in accordance with our retention policies, unless deletion is delayed by backup cycles or legal hold.

6. Security

We implement administrative, technical, and organizational measures designed to protect personal information, including:

  • Encryption in transit (TLS) and encryption for sensitive data at rest where appropriate;
  • Role-based access control and least-privilege permissions inside the Terminal;
  • Microsoft Entra ID single sign-on and multi-factor authentication for employee access;
  • Session management, rate limiting, security headers, and audit logging for sensitive actions;
  • Monitoring for suspicious activity and access reviews for administrative roles.

No method of transmission or storage is completely secure. If you believe your account has been compromised, contact your administrator and privacy@3treetech.com promptly.

7. Your Rights and Choices

Depending on your location and relationship with 3 Tree Tech, you may have rights to access, correct, delete, restrict, or port certain personal information, or to object to certain processing. Employee and partner users should contact their 3 Tree Tech administrator for access changes tied to role or employment status.

You may also submit a privacy request to privacy@3treetech.com. We will verify your identity before responding and will answer within the timeframe required by applicable law. If you are in the EEA/UK, you may lodge a complaint with your local supervisory authority.

Residents of certain U.S. states (including California, Colorado, Virginia, and others) may have additional rights regarding access, deletion, correction, and opting out of certain processing. We do not sell personal information or use it for cross-context behavioral advertising through the Terminal.

8. Cookies and Similar Technologies

The Terminal uses cookies and similar technologies for essential purposes, including:

  • Maintaining authenticated sessions after sign-in;
  • Protecting against cross-site request forgery (CSRF);
  • Remembering display preferences such as theme settings where applicable.

These technologies are generally necessary for the Service to function. You can control cookies through your browser settings, but disabling essential cookies may prevent you from signing in or using protected areas of the Terminal.

9. International Data Transfers

3 Tree Tech is based in the United States. If you access the Terminal from outside the U.S., your information may be transferred to, stored in, and processed in the United States and other countries where we or our service providers operate. We use appropriate safeguards (such as standard contractual clauses where required) for international transfers subject to applicable law.

10. Children

The Terminal is a business platform not directed to children under 16 (or the age required in your jurisdiction). We do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will take appropriate steps to delete it.

11. Changes to This Statement

We may update this Privacy Statement from time to time. The "Last updated" date at the top reflects the latest revision. Material changes may be communicated through the Service, by email, or by other reasonable means. We encourage you to review this page periodically.
